Monthly SharePoint News Digest - June 2025
New month, new features for the Microsoft 365 Collaboration Tools 🚀
🗓️ Events around Microsoft 365
- July 3rd - GitHub Copilot Bootcamp in Montreal
💡 Trick & Tips
Migrating your local desktop content or network one to SharePoint / OneDrive cannot be so easy. There are some constraints, such as:
- File path should not exceed 266 chars
- File name begins with a space
- File name cannot contain some special chars
- etc.
You can find all of these constraints/restrictions here: Restrictions and limitations in OneDrive and SharePoint.
If you have a large number of files or multiple migrations to plan, it can be complicated to manage them. The best way is to use a tool to do it for you, which one? You can use a lot of solutions in the market, but you should consider beginning with a Microsoft one, which is free and really useful: SharePoint Migration Tool (SPMT).
When you run it on your computer, you can select a local or network folder and run an analysis. If any item looks incorrect, you will have a CSV report that mentions the reason for the failure. You will be able to fix it, and if you don't want to move the content manually, this tool can be a real asset for you (try to preserve file share permissions, user mapping, filters, replace invalid file name characters, etc.).

Microsoft 365

Changes start mid-July 2025 and are complete by August 2025.

The feature already exists, but was accessible only from the legacy admin center.
Now, you can access it from the modern admin Governance & Compliance > Data management.

Stream
The End of Unification for Stream & Clipchamp
Announced at the end of 2024, Microsoft chose to gradually transition the Microsoft Stream brand to the Clipchamp one.
At the end, no big changes for final users.
Just note that the URL of the Stream service https://m365.cloud.microsoft/launch/stream becomes https://m365.cloud.microsoft/launch/clipchamp
SharePoint
Estimated Read Time for News Posts
This is not a revolution, but Microsoft is listening to the feedback. Some feedback asked to have the capability to indicate an estimated reading time. This kind of feature is mainly used for blogs and communication websites.
How can the estimation of read time be useful with SharePoint?
- As a reader, he manages time effectively, stays focused, and engages more fully with the texts he is reading.
- As a writer, it is a theory that an adult can read more or less 238 words/minute. With this information in mind, a writer/publisher should stay focused on the content without writing a whole book. By the subject of the post/page and the expectation of the readers, the writer can ensure the needed time to read the content, and if required, adjust the content to reduce the reading time to keep the interest of the audience.

Viva Engage
Copilot Adoption Community
Previously, this community template was only available to networks with at least one Copilot license. This is not the case anymore...
If you didn't try it, it's time.
You don't need to create a new community to access features linked to Copilot, but it is important to keep in mind that you can only have 1 community with the Copilot feature enabled.
This type of community is very interesting to promote Copilot in your organization, and the suggested content is amazing.

New Centralized Admin Role Management
Microsoft is working hard to modernize Viva Engage Legacy capabilities for admins.
Among these efforts, Microsoft has just included a UI to manage the roles while including the new corporate communicator feature.
Viva Engage admins are spoiled 😁

New Page Creation Wizard
The previous right panel for creating a new SharePoint page has vanished. Let's take a look at a new "wizard" from which the users can select a set of awesome built-in page templates.
Of course, you still access the custom templates if you have ones, but you still can't hide the built-in templates.
I think the built-in templates are still helpful for users to explore more features and layouts around the pages.

SharePoint
New Anyone links to folders permission
If you choose to keep the "anyone" sharing, you have a new permission on folders that you can define by default as an administrator: View and upload.
This feature allows more granular control over content access and maintains the "Request files" functionality.
By default, Microsoft does not change the configuration for SharePoint.
What is this new granular permission change? Before this feature, when a user chose to share a folder with anyone, he has the capability the choose the following permissions:
- Can edit
- Can view
- Can't download
Once the permission is defined to View and upload, the option Can edit vanishes, BUT the upload is still available for the Request files feature ❤️

New Storage Insight for Admins
From the Admin Center > Report > Usage > SharePoint, there is a new tab named Storage.
The SharePoint storage report provides an overview of your tenant’s storage profile across multiple geographies.
The report will include suggestions for optimizing storage, such as setting file history limits, archiving inactive sites (Pro), and creating site lifecycle management (Pro) policies.
Also, banner notifications will appear when your tenant is approaching or over the storage quota.

Hoping this post will help you, see you next month... 🚀
